Statuses

Statuses help represent the state of a project as it moves through its lifecycle, and have been a core element in project management for many years. In DoneTonic you can find statuses for Tasks, PBIs, Sprints, or Releases.

Managing statuses

In the statuses menu, you will find every status used in the project. Just expand the configuration dropdown inside your project to find it.

If you create a new status in this menu, it will be automatically usable in all the elements of the project, with one exception: if you have an existing board the new status will not show up unless you add it manually. Inversely, if you create a status in an existing board, it will be added to the project’s statuses configuration list.

Inside the statuses menu you can find the different tabs for Task, PBI, Sprint and Release statuses.

In each of these sections there is a list of statuses composed of different elements.

On the left side you can see a grip indicator. You can change the order of the statuses to better suit your needs. Next to it is the name of the status. Just click on it to change it.

On the far right reside the delete and color change buttons. Next to these buttons are several flags, which relate to different visibility and automation functionalities. Let’s take a deep dive on their functionality:

Task

  • In progress: These are all the statuses where tasks are initiated and in progress.
  • Blocked: These are all the statuses where tasks are blocked for some reason. For example, a task might be blocked because it needs to be verified.
  • Closed: Tasks with the following statuses will be marked as completed and will not be displayed in any pending task view.
  • Auto closed (only for scrum tasks): This is the status to which an open task will automatically transition after its corresponding PBI is closed. (Only statuses marked as Closed can be set as Auto closed).
  • Canceled (only for kanban tasks): Tasks in the following status will be shown as canceled and will not be displayed as pending tasks.

    PBI

  • Ready: PBIs in the following statuses will be available to be moved to a Sprint on the Ready tab of the Backlog. (Statuses marked as Done or Closed cannot be marked as Ready).
  • In progress: This is the status a PBI will be in after at least one of its tasks has started.
  • Blocked: This is the status a PBI will be in after at least one of its tasks is blocked.
  • Done: PBIs in this status meet the definition of done and will be available to add to a version/release. (Statuses marked as Ready cannot be set as Done).
  • Closed: PBIs with the following statuses will be marked as finished and will not be shown in any pending PBIs view. (Statuses marked as Ready cannot be set as Closed).
  • Canceled: Tasks in the following status will be shown as canceled and will not be displayed as pending tasks.
  • Reopen: This is the status to which a closed PBI will automatically transition after one of its tasks is reopened. (Statuses marked as Done or Closed cannot be marked as Reopen).
  • Auto Done: This is the status to which an open PBI will automatically transition after all of its tasks are closed. (Only statuses marked as Done can be marked as Auto Done).

Release

  • Closed
    The releases with the following statuses will be marked as finished and will not be shown on any pending releases view

Sprint

  • Closed
    The sprints with the following statuses will be marked as finished and will not be shown on any pending sprints view
  • Reopen
    This is the status a closed sprint will automatically be set to after one of its PBIs is reopened
    (Statuses with the Closed flag cannot be set to Reopen)
  • Autodone
    This is the status an open sprint will automatically be set to after all its PBIs are closed
    (Only statuses with the Closed flag can be set to Autoclosed)
