Task templates

Often times in project management we find ourselves creating the same set of tasks over and over. Templates help you avoid this repetitive process by allowing you to save sets of tasks for future uses.

Template tasks will retain their name, order, importance, tags and, optionally, assignees and attachments, off the original tasks they are created from.

Creating a new template

1. First you need to create the tasks that will be included in your new template or go to their location if they have already been created.

2. This next step will change slightly based on where you are viewing your tasks from:

  • If you are accessing your tasks through a board, click on + New task just under the tasks you want in your template. On the bottom part of the new task window, click on Templates.

  • If you are accessing your tasks through a PBI detail window, you will find the Templates button right under the tasks, on the right side.

3. At the bottom of the Templates window, click on + New template with current tasks.

4. Here you can type the new templates name and choose if you want to include the assignees and attachments from your current tasks to the template.

5. Click Create template.

Now your new template is displayed on the Templates list, and beside it you can see the number of tasks in it. If you hover that number you will see a preview of the tasks included in that template.

Using a template

Once you’ve created your templates, it’s time to put them to good use.

1. The first step will depend on where you want to add your tasks template:

  • If you want to create them in a board, click on + New task wherever you want to create them. On the bottom part of the new task window, click on Templates.
  • If you want to apply your template inside a PBI detail window, you will find the Templates button right under the tasks section, on the right side.

2. Once the Templates window opens, you will see a full list of the templates available. You can use the search bar on top to filter them if there are too many to easily spot them. You can also check a preview of the tasks inside each template by hovering the number of tasks on the right side.

3. Once you’ve found your desired template, just click on it and the tasks will be added.

You can also change the name or delete your existing templates by using the three dots menu on the right side while on the templates window.
